Regulatory reporting

Form PF, without rebuilding the data every filing.

Form PF asks for a large volume of fund, exposure, liquidity, counterparty and performance data across a manager's private funds. Most of that data already exists, in administrator files, risk systems and accounting records. Datox consolidates it, applies the required logic and prepares the output.

The challenge

Volume, breadth and a hard deadline

Form PF is demanding less because any single figure is difficult and more because the data spans many funds, many providers and many measures, and it must be internally consistent. Manual assembly in spreadsheets is slow and hard to review.

  • Data spread across administrators, prime brokers, risk systems and internal records.
  • Definitions that must be applied consistently across funds and periods.
  • Aggregations and derived measures that are easy to compute inconsistently.
  • Limited time between period-end data availability and the filing deadline.
  • A need to explain any figure long after the filing was made.
Datox workflow

From source data to prepared filing content

  1. Consolidate

Fund, position, exposure, counterparty, liquidity and performance data is ingested for every in-scope fund in the reporting period.

  2. Enrich

Where instrument data arrives sparse, ISINs can be resolved against an integrated third-party Security Master and reference attributes appended before reporting logic runs. Unmatched or ambiguous identifiers become review exceptions.

  3. Map & calculate

Enriched source data is mapped to the Form PF data model and the required aggregations and derived measures are calculated using configured logic.

  4. Validate

Internal consistency checks, reconciliations to accounting and administration records, and threshold checks run across the whole submission set.

  5. Review & approve

Exceptions are routed to reviewers with evidence and prior-period comparison; approval is recorded before output is produced.

  6. Produce output

Prepared content is generated in the required structure, with the underlying evidence retained for future questions.

Data reuse

Overlap with Annex IV and other regimes

A manager reporting under both AIFMD and Form PF is describing the same funds with different definitions. Datox keeps one prepared fund dataset and applies regime-specific mapping and calculation at the reporting layer.

Where reuse applies

  • Fund static data, structures and identifiers.
  • Instrument reference data enriched once and reused across obligations where definitions allow.
  • Position, exposure and counterparty data for the period.
  • Liquidity and investor information already collected for other filings.
  • Reconciliation to the same accounting and administration sources.
  • Review and approval workflow shared across regulatory obligations.

Datox automates the data preparation, validation, review and output workflow. Datox does not represent that it submits filings to the SEC or any regulator; filing arrangements are confirmed separately. Coverage and implementation scope are agreed during deployment.
